Job Description:

The purpose of this position is to provide high-quality and timely scientific writing support to faculty and administrative personnel within the University of Florida, Department of Health Outcomes and Biomedical Informatics (HOBI). Reporting directly to the Chair, and working closely with the Director of Administrative Services, the department's communications team and other key faculty. The incumbent is responsible for participating as a key contributor in document development for the TX HHS External Quality Review Evaluation application and other key applications; ensuring that all documents are written in accordance with applicable regulatory requirements, policy, and instructions; development of templates including standard language to facilitate multiple submissions of similar documents; writing assigned components of documents; editing for grammar, readability, clarity, consistency, and conformance with any applicable requirements; management of the document development and delivery process. Additionally, the HOBI Technical Writer shall provide expertise and management of required presentations, manuscripts, and stakeholder communications in support of the research mission of the UFHCC.


Grant Support:

o Responsible for developing, implementing, and maintaining the TX HHS EQRO competitive application and others, and progress report templates for each proposal section.

o Collaborates with principal investigator and other key senior leadership authors in the development of section narratives and administrative components (non-budget) of the grant proposal.

o Responsible for formatting, substantive editing, proofreading, and finalizing the document as required and requested.

o Develops a standard style guide and review criteria for data checking and content verification.

o Ensures the readability, clarity, consistency, and conformance to sponsor submission requirements.

o Communicates (telephone, email, meetings) with principal investigator and key senior leadership authors as necessary to ensure the accuracy and clarity of the documents and to meet both internal and sponsor submission deadlines.


Scientific Manuscripts, Abstracts, Posters, and PowerPoint Presentations:

o Collaborates with the principal investigator and other team members with primary responsibility for the development of scientific presentations that report the results of research conducted.

o Responsible for editing all extramurally-funded proposals for grammar, readability, clarity, consistency, and conformance with all applicable requirements.

o Reviews on an ongoing basis publications from the PCORI, AHRQ, FDA, OHRP, NIH, NCI, CTEP, and others determined by the department to determine if current documents or templates need to be updated as per new requirements; notify appropriate PI or director as required and suggest new language.

o Determines (to the extent possible based on content knowledge) that document language is scientifically/medically correct, consistent, and justifiable; notify appropriate PI or director as required and suggest new language.

o Determines (to the extent possible based on content knowledge) that document language is responsive to the document requirements; notify appropriate PI or director as required and suggest new language.

o Works closely with presenters and takes a leadership role in the development of scientific presentations, ensuring accuracy and adherence to length and time allowed for presentation.

o Takes a leadership role in the development of presentations and posters required for site visits and other venues to highlight scientific discoveries in an accurate and atheistic visual representation of the shared resources and initiatives underway at UF and HOBI.

o Prioritizes projects based on a combination of factors including receipt date, deadline date, amount of work needed, and overall impact of the project.


Scientific Writing Responsibilities:

o Develops and maintains research proposal-related templates that facilitate the writing of

proposal related documents with a consistent style throughout, and which also facilitate the development of multi-investigator grants.

o Responsible for determining if documents and templates conform with all applicable regulations, current guidance, and policies; inform appropriate PI or director as required and suggest appropriate correction.

o Develops and maintains templates that facilitate subsequent submissions to common audiences (journal, national meeting, etc.).

o Responsible for formatting, substantive editing, proofreading, and finalizing documents as required and requested.

o Ensures the readability, clarity, consistency, and conformance to applicable submission requirements.

o Ensures that the applications conform to the appropriate style requirements as specified by the funding agency.

o Develops research SOPs and/or policies, to include internal and external safety reporting requirements for active clinical protocols.


Publication Tracking Management:

o Responsible for managing the electronic submission of meeting abstracts and scientific/medical manuscripts.

o Assures that manuscripts adhere to all society/publisher/agency requirements prior to submission.

o Responsible for obtaining and maintaining the documentation for any required copyright transfers, conflict of interest statements, or other publisher-specific requirements.

o Tracks progress and responds to publication queries, as appropriate.

o Maintains bibliography management system for efficient utilization in the manuscript development process.

o Verifies and updates all project/program publication listings for submission in annual progress reports and competitive application submissions.

Advertised Salary:

$58,000 - $63,000 commensurate with education and experience



Minimum Requirements:

Bachelor's degree in an appropriate area; or an associate's degree and two years of relevant experience.



Preferred Qualifications:o Advanced/terminal degree in a science or health profession strongly preferred.

o Significant experience in an academic medical environment, working in research involved with technical/scientific writing.

o Grant writing experience and scientific manuscript preparation and submission experience.

o Understanding of scientific methodology.

o Demonstrated problem-solving and interpersonal skills that facilitate effective interactions within cross-functional teams and with external customers.

o Ability to prioritize, focus, work independently, and be flexible when contingencies arise.

o Ability to identify issues and generate solutions, or request appropriate intervention by management.

o Excellent organizational, communication, and interpersonal skills, both oral and written.

o High level of proficiency in Adobe, MS Word, Excel, PowerPoint, and various databases required.

o Experience with various graphic and presentation software a plus.

o Demonstrated experience analyzing data, interpreting information, providing logical conclusions/projections and program evaluation, and anticipating costs/obligations.

o Ability to work in and appreciate a culturally diverse organization.

o Significant experience in project management, time management and organizational skills, with the ability to manage details of multiple and complex projects with firm schedules and competing deadlines.

o Proven ability to work in a fast-paced, deadline-driven work atmosphere and able to assess environment and adjust plans according to situation with a solution-oriented perspective, and adapt to changing priorities without supervision.

o Advanced understanding of medical and scientific terminology.

o Considerable experience in analyzing data, interpreting information, providing logical conclusions.

o Ability to develop and implement innovative and creative approaches.

o Demonstrated integrity, dependability, sound judgment, teamwork and resourcefulness to establish and maintain collaborative, positive and effective working relationships with multiple internal and external partners on behalf of the department.
